Use AI to build a programme session plan and materials

Turn a clear programme brief into a timed agenda, facilitator words and a participant worksheet. This worked example uses a fictional digital-confidence group and includes a paper-only version.

In brief

Start with a brief that names the task, people, time and materials. Ask for the whole facilitator pack, then check timings and rehearse it before using it.

Produce a pack someone can facilitate

Ask for the agenda and materials together, so another colleague can run the session without filling gaps. This fictional digital-confidence group is for a Singapore social-service team. The brief and pack are editorial demonstrations, not recorded model output, a delivered programme or observed outcomes.

Use an organisation-approved AI tool with fictional or approved non-personal inputs, not participant histories. A facilitator should check the plan, translations and accessibility needs before use, offer a pass option and follow the team's usual support arrangements.

Write the brief before opening the chat

Choose one observable task: find the time and room in a short notice. Avoid a broad aim such as “improve digital confidence”. Specify participants, staff, equipment and minutes. Mark assumptions instead of asking AI to guess language preferences.

The complete fictional brief is included once, inside the prompt below. For your own programme, replace the text after BRIEF: and update the duration instruction.

Ask for all the outputs in one request

OpenAI recommends clear, specific instructions with context, followed by reviewing and refining the response.[1] This is a prompting method, not evidence that a generated session suits your group. Copy the complete request below to try the fictional exercise; it needs no additional inputs.

Copyable session-pack prompt

Draft a facilitator pack from this fictional brief. Keep its objective and constraints; do not add services, eligibility claims, clinical interventions or participant histories.

Return the complete agenda with start/end minutes totalling 60, including the pause; facilitator and helper actions; participant tasks; words to say at transitions; a short fictional notice visibly marked DEMO; a one-page worksheet and exit question; an equivalent paper-only route; and assumptions to confirm.

Use adult-appropriate plain English. Allow writing, speech or pointing, paired turns and passing. Show materials in full. Do not report delivery or outcomes. Check the timing sum.

BRIEF:
Fictional programme: Digital confidence: reading a community notice
Participants: Eight adults wanting information-finding practice; no assumed reading or digital skill level
Purpose: Find a time and room, then choose how to ask for clarification
Observable task: Each person identifies both details, independently or with chosen support; pointing, speech or writing count
Duration: 60 minutes, including a five-minute pause
Staff: One facilitator and one helper
Venue: Quiet community room; tables and chairs; no projector
Materials: Eight large-print worksheets and notices, pens, two shared devices showing the same offline notice
Language: Plain English demo; confirm preferred languages and prepare checked translations when needed
Access: Paper, read-aloud and pointing choices throughout; no personal phone required
Scope: Everyday practice, not treatment, account setup, Singpass use or benefit applications
End check: How would you find the time on another notice and ask for help?
Confirm: Room access, print size, language preferences and shared-device permission

Worked 60-minute session output

The proposed pack below follows the visible fictional brief. Ranges are elapsed session time; the durations total 60 minutes, including the pause. Print the notices and worksheets; put the same offline notice image on both shared devices. Arrange four pairs and keep the notice visible throughout.

Complete activity notice

DEMO: fictional practice notice, not a real event
Community information morning
Saturday, 10am
Room 2, Harbour Community Room (fictional venue)
Bring: nothing
Questions? Ask the practice help desk in Room 2.
This notice is for this activity only.

Activity answers and how to use them

The answers are 10am, Room 2 and nothing to bring. The practice help route is the fictional help desk in Room 2. These are teaching materials, not service facts.

One person asks for the time and room; their partner finds and points to the supporting lines. Swap roles. Ask “Which line helped you?” before correcting an answer. If needed, read the lines together and invite another attempt. Practise: “Could you tell me which room to go to?”

One-page participant worksheet

DIGITAL CONFIDENCE: READING A NOTICE
Practice only. Write, point or answer aloud. Leave names blank.
Use the DEMO community information morning notice.

1. Start time: __________
2. Room: __________
3. Bring: __________
4. Show the line supporting one answer.
5. Ask: “Could you tell me __________?”
6. Choose: paper / shared screen / read aloud together

Exit: On another notice, how would you find the time,
and where would you ask if unsure?
Answer or point: __________________________
Next practice: another notice / same notice / not today

Anonymous facilitator tally: time found __ room found __
Support chosen: independent / paired / read aloud / pointing

Keep the paper route equal to the screen route

Give each pair a printed notice. Read it aloud on request; participants may point instead of writing. Use the same worksheet and exit question. Nobody has to explain their choice of paper.

On devices, show only the offline image. Scrolling, installation and account setup would change the task. Confirm print size and preferred language; have a colleague check translated materials.

Revise when the practical conditions change

In this fictional change, the helper is unavailable, Wi-Fi fails and the room booking becomes 45 minutes. Keep the objective, use paper throughout and shorten repeated practice. Send the change request with the original pack. The complete revised agenda below uses the same notice, answers and worksheet; all helper instructions are removed.

Copyable change request

Revise for 45 minutes, eight adults, one facilitator, no helper or Wi-Fi. Keep the objective, use printed materials and include a four-minute pause. Return the complete replacement agenda and transition words; identify unchanged materials. Remove helper actions and extra objectives.

Elapsed minutesDurationActivity and revised facilitator instruction
0–44Welcome: “We will use paper today. You may write, point, listen or pass.” Offer route choices.
4–106Model: “Find the time words with me, then the room.” Read the notice aloud; point to each line.
10–188Guided pairs: “Each person gets a turn to find the time and room.” Circulate; use worksheet 1–4.
18–2810Swap and ask: “Change roles. Find what to bring and practise a question.” Complete worksheet 3–6 as needed.
28–324Pause: “We are pausing for four minutes. You may stay seated.” No new task.
32–408Repeat: “Use the paper or ask me to read. Find the time and room again.” Check both answers with chosen support.
40–455Exit: Read the same worksheet exit question; accept a spoken, pointed or written answer, or a pass. Offer next-practice choices.

Check and rehearse before printing the pack

Rehearse with a colleague: read the welcome aloud, complete the worksheet and practise the move from pairs to the exit question. Count the minutes yourself. Check that every material exists in full and every participant gets a turn; remove activities absent from the brief.

Label copies Demo v1: 60 minutes, two staff or Demo v2: 45 minutes, one staff, paper only. Test an A4 print; use a second page if readable print needs it.

Keep any tally anonymous. A pass is not a failed assessment; the exit response suggests what to practise next, not a measured confidence gain. For other drafting tasks, see ChatGPT prompts for social workers.
